J-1 Scholar Exchange Visitor Program Overview

No changes in the terms in the scholar’s official letter of offer or letter of invitation may be made without prior notification to and approval by ISSS, including change of faculty supervisor, department, effective dates, funding source or amount (except for normal salary increases), site of activity or insurance coverage. 

Use these instructions for

  • A current employee who will
    • Change faculty supervisor
    • Change or add a site of activity (work location, lab, department, etc.)
    • Change academic objective
    • Change FTE
    • Receive a salary reduction or become a non-employee
    • Change eligibility for employee health insurance
  • A current non-employee who will
    • Change faculty supervisor
    • Change or add a site of activity (work location, lab, department, etc.)
    • Change academic objective
    • Change funding source
    • Be hired as an employee

An amendment request may also include an extension of stay.

  • Equal Pay for Equal Work Act Posting Guidancefor Visiting Faculty Appointments
    • Maximum appointment of 9 months (Denver) or one year (Anschutz)and where conversion to a regular appointment is not expected.
    • When visiting positions are posted, appointment is limited to 2 academic years (Denver) and 2 years (Anschutz).
  • Anschutz Policy for Research Postdoctoral Fellows/Trainees
    • Maximum of five years of postdoctoral experience
    • Petition the dean of the school/college in which the faculty member has their primary appointment for an extension

Steps to request an amendment to Form DS-2019 for a J-1 Scholar

Step One

  • Collect details of change(s)
  • Obtain signatures on J-1 Amendment Memo and Faculty Sponsor Agreement
  • If applicable, include new LOO or addendum for an employee

Step Two

  • Complete Export Control if request includes an extension of time

Step Three

  • Complete J-1 Amendment Request at least 1 month in advance of the change

Step Four

  • Within 10 business days ISSS issues Form DS-2019 and emails it to the J-1 scholar and copies the HRBP
  • J-1 extensions are possible to the maximum time limit for the category or any increment up to the maximum.

Steps to request an extension of Form DS-2019 for a J-1 Scholar

Step One

  • Determine dates of extension
  • Collect proof of financial support if non-employee
  • Obtain signatures on J-1 Extension Memo and Faculty Sponsor Agreement

  • Complete Export Control

Step Three

  • Complete J-1 Extension Request at least 1 month in advance of the DS-2019 expiration

  • Within 10 business days ISSS issues Form DS-2019, emails it to the J-1 scholar and copies the HRBP
